Senior Executive Administrative Assistant


Position Purpose:This position reports to the Director of Executive Administration & Corporate Governance (DEACG). The Senior Executive Administrative Assistant is a key member of the Executive Administration Team, will support the CEO, Chairman of the Board ( CEO ) and will work with the CEO s lead Senior Executive Administrative Assistant, acting as one of two functional hubs for the Office of the CEO. The position will continue to evolve as the business needs change. This is a unique role that combines traditional executive support with a dynamic function oriented around the business and around delivery of fast-paced professional services. This role will contribute to ongoing client satisfaction by ensuring the needs and expectations of the CEO are met through service excellence. This individual should be a high-energy, forward focused person able to really drive this increasingly important work, propose initiatives to improve service quality, and help resolve issues. The individual should be self-motivated, proactive in anticipating needs and thinking beyond the guidelines provided, and able to work independently and contribute as an effective team member. Strong communication skills, accuracy and adherence to deadlines in a fast-paced environment are essential.Principal Accountabilities:50% - Executive Administration One of two first point of contact individuals for the CEO s guests. Responsible for management of the constantly changing ET lists, as applicable, in multiple formats. Assist with processing of all mail for the CEO, including email, logs, legal holds, etc. Assist with the management and maintenance of accounting, expense, and supplies for the office. Manage CEO event registrations, memberships and subscriptions. Update and maintain the CEO s contacts; assist with various mailings and the management of files. Assist in supporting the CEO s involvement with numerous Boards and community endeavors. Assist with the CEO s global travel, calendaring, customer visits, and various events including travel schedules, coordination, video and technology needs, meeting participation, logistics and facilities, itineraries, and applicable records. Manage the highest level of very sensitive confidential information in a discreet manner. Assist with the maintenance of the CEO s files. Provide support to the CEO, including assisting the lead CEO assistant, in ways not already specified.25% - Lead CEO Senior Administrative Assistant Coverage Cover for the Lead Sr. EA Assistant in their absence. Proficient in execution of all the tasks of the CEO admin. Act as liaison between CEO and for both internal and external global executives - redirect or escalate as necessary. Responsible to co-manage / assist with the coordination of meetings with global Cargill locations when the CEO is traveling to Cargill offices. Responsible to provide back-up coordination for local meetings on the CEO s calendar. Responsible to co-manage the coordination of all technology needs - video conferencing, teleconferencing, or a combination of mediums for local meetings involving the CEO.25% - Communications Assist with management of regular communication with the CEO s professional network; draft outgoing communication on behalf of the CEO; schedule ongoing contact. Assist with management of internal and external activities, including space rental, catering, AV setup, travel (including file and record management, and visa coordination), and coordinating with internal teams.Other duties Participate and/or lead special projects, large scale meetings, speaking engagements as necessary. Managing or assisting other project such as holiday cards, annual reports, World Economic Forum Event, etc. Other duties as assigned.


Minimum Required 5 or more years of experience providing administrative support to executives and/or C-Level staff Working experience in Microsoft Outlook, Word, Excel, PowerPoint, and Adobe Acrobat. Experienced and comfortable interacting at all levels including Board members and senior management. Matrixed organization, Fortune 500, or agricultural company experience. Working experience with international travel arrangements Ability to work flexible hours/outside business hours, as required by the businessAbilities / Success Factors Must be able to work with minimal direction and be able to exercise judgment, creativity, and analytical thinking Strong collaboration and partnering skills. Strong ability to work well with others. Demonstrated ability to manage multiple, simultaneous, complex tasks and to meet deadlines. Strong written and verbal communication skills. Demonstrated organizational, administrative, and time management skills, with strong attention to detail. Positive, can-do attitude with a demonstrated ability to tactfully and effectively handle highly confidential and time-sensitive situations. Strong interpersonal skills and the ability to work well independently and collaboratively with other team members.Preferred Qualifications BA/BS preferred with greater than 5 years of relevant experience.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
