Senior Executive Administrative Assistant

Position Purpose:
This position reports to the Director of Executive Administration & Corporate Governance (DEACG). The Senior Executive Administrative Assistant is a key member of the Executive Administration Team, will support the CEO, Chairman of the Board (CEO) and will act as one of two functional hubs for the Office of the CEO. The position will continue to evolve as the business needs change.
This is a unique role that combines traditional executive support with a dynamic function orientation around the business and around delivery of fast-paced professional services. This role will contribute to ongoing client satisfaction by ensuring the needs and expectations of the CEO are met through service excellence. This individual should be a high-energy, forward focused person able to really drive this increasingly important work, propose initiatives to improve service quality, and help resolve issues.
The individual should be self-motivated, proactive in anticipating needs and thinking beyond the guidelines provided, and able to work independently and contribute as an effective team member. Strong communication skills, accuracy and adherence to deadlines in a fast-paced environment are essential.
Principal Accountabilities:
35% - Executive Administration
First point of contact on the CEO's guests ? greet high level world-wide executives / leaders.
Responsible to manage the constantly changing ET lists, as applicable, in multiple formats.
Assist with processing of all mail for the CEO.
Manage all the CEO's event registrations, memberships and subscriptions.
Maintain the CEO's contacts in Outlook.
Edit and manage reviewed executive level presentations and letters for the CEO.
Assist in supporting the CEO's involvement with numerous Boards and community endeavors.
Manage the highest level of very sensitive confidential information in a discreet manner.
Assist with the maintenance of the CEO's files.
Provide support to the CEO in whatever capacity requested and not already specified.
Responsible to handle daily calls (requesting the CEO) with a great deal of finesse.
Act as liaison between CEO and for both internal and external global executives - redirect or escalate as necessary.
30% - Calendaring/Meeting Coordination
Responsible to co-manage / assist with the coordination of meetings with global Cargill locations when the CEO is traveling to Cargill offices.
Responsible to provide back-up coordination for local meetings on the CEO's calendar.
Responsible to co-manage the coordination of all technology needs - video conferencing, teleconferencing, WebEx or a combination of mediums for local meetings involving the CEO.
15% - Expenses and Travel
Responsible to co-manage all expenses and reporting requirements related to the CEO's use of the corporate card.
Responsible to co-manage all aspects of the CEO's travel arrangements ? includes international travel ? to include: passports / visa needs, commercial flight arrangements, hotel accommodations, ground transportation, securing meeting rooms and catering needs.
Responsible to co-manage all travel arrangements (including coordinating with other administrative assistants) on the corporate jet ? regardless of who is flying on the jet ? to include (but not limited to) the Executive Team, Business leaders, and guests.
Responsible for collecting, securing, reporting data related to the CEO's use of the jet.
10% - Communications/World Economic Forum Event
Co-manage regular communication with the CEO's professional network; drafting outgoing communication on behalf of the CEO and scheduling ongoing contact.
Co-manage events for internal and external activities, including space rental, catering, AV setup, coordinating with internal teams.
10% - Other Duties
Participate and/or lead special projects as necessary.
Managing or assisting other project such as holiday cards, annual reports, World Economic Forum Event, etc.
Other duties as assigned.
Minimum Required Qualifications:
5-10 years of experience providing administrative support to Executives and/or C-Level staff
Strong computer skills. In particular, fluency in Microsoft Outlook, Word, Excel, PowerPoint, and Adobe Acrobat.
Highly organized. Demonstrated organizational, administrative, and time management skills, with strong attention to detail.
Positive, can-do attitude with a demonstrated ability to tactfully and effectively handle highly confidential and time-sensitive situations.
Strong interpersonal skills and the ability to work well independently and collaboratively with other team members.
Possess a high degree of poise, judgment, discretion, empathy and professionalism.
Experienced and comfortable interacting at all levels including Board members and senior management.
Demonstrated ability to manage multiple, simultaneous, complex tasks and to meet deadlines.
Strong written and verbal communication skills.
Must be able to work with minimal direction and be able to exercise judgment, creativity, and analytical thinking.
Matrixed organization, Fortune 500, or agricultural company experience.
Preferred Qualifications:
BA/BS preferred with greater than 5 years of relevant experience.
Expertise with international travel arrangements



Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
